Invite a colleague

Adding somebody to your studio, what they find on arrival, and what happens when there is no seat left.

A studio can be shared. Everybody keeps their own account, password and two-factor setup: you are not adding a login, you are inviting a person.

Inviting

From Studio settings → People and roles, enter the e-mail address and choose the access level. Kalepio sends a link to that address.

The invitation expires. After that the link does nothing and a new one has to be sent.

What your colleague does

  • If they already have a Kalepio account, they follow the link and the studio appears in their switcher.
  • If they do not, they sign up with the exact address that was invited. Kalepio matches the two: they land straight in your studio, skipping the setup wizard, and are not left with an empty studio of their own.

It is the address that matters rather than clicking the link.

What they find

A studio already set up: your palette, your services, your clients, your orders. There is nothing for them to configure.

Seats

How many members you can have depends on your plan. Free and Solo are one-person plans; Team is the one that lets you invite.

Pending invitations count. An invitation held a seat until it expires or is cancelled, or you could invite ten people onto a plan allowing two and find out at the moment they arrive.

The invite button stays visible even when the plan is full, with the sentence explaining why. A button that has vanished reads as a missing feature.

If the subscription stops

Nothing is deleted. No member is removed, no permission rewritten, no work touched: resubscribing puts everything back with nothing to redo.

What happens instead, and only after a grace period, is that colleagues beyond what the plan allows can no longer open that studio. Never the owner, never their own account, never their other studios.
