The client record

What Kalepio keeps about each client, how a record fills itself in, and the history of their orders.

2 minute read

A client record gathers what you know about somebody: their contact details, whatever else you decided to keep, and every order placed for them.

Creating a client

Three ways, and the third is the most common.

  1. From Clients, by hand.
  2. From an order, on the fly, as you open it.
  3. On its own, when a client orders from your public page or fills in a brief.

That last one is what actually happens most of the time: the contact details asked for in the form feed the record with nothing for you to copy across.

The record updates itself with every brief

When a client answers a form, what they put in updates the record. A phone number that changed since last year is corrected without anybody thinking about it.

The history

A client's page carries their list of orders. That is what you look at before calling somebody back: how many jobs, when, and where they stand.

Every order also carries its rank for that client, "the third order". Handy for telling at a glance whether you are talking to a regular or to somebody new.

Deleting a client

Orders placed for them do not disappear. An order carries its own answers and its own files; it stays readable.

One limit, depending on your plan

The client directory, like custom columns, depends on your plan. The detail is on "Plans and limits".
